School Terms & Conditions
These terms govern the relationship between Adenat Solutions Limited (operators of Passco360) and subscribing schools and educational institutions.
NOTICE TO SCHOOL ADMINISTRATORS: By creating a school account or making payment for a Passco360 School Plan, the School Representative confirms they have read, understood, and agree to be legally bound by these Terms & Conditions on behalf of their institution. These terms, together with the School Subscription Agreement, form the complete legal agreement between the school and Adenat Solutions Limited.
1. Institutional Eligibility & Registration
1.1 Eligible Institutions
The Passco360 School Plan is available to registered Junior High Schools (BECE), Senior High Schools (WASSCE), private tutorial centres, and accredited vocational institutes operating within Ghana or the broader WAEC examination zone. Institutions must be duly registered with the Ghana Education Service (GES) or an equivalent national educational authority.
1.2 Authorised Representative
By entering into an agreement with Passco360, the School Administrator or designated Principal (hereinafter the 'School Representative') confirms that they are duly authorised to bind the institution to these Terms. The School Representative's details must be provided accurately during registration and kept up to date.
1.3 School Account Security
The School Representative is responsible for all activity conducted under the school's account. Administrative credentials must not be shared with unauthorised personnel. Schools must notify Passco360 immediately of any suspected unauthorised access.
2. Licence, Access & Permitted Use
2.1 Licence Grant
Upon payment and activation of a School Plan, Adenat Solutions grants the institution a non-exclusive, non-transferable, revocable licence to access and use the Passco360 platform for internal educational purposes only. This licence is limited to the student and teacher capacity specified in the purchased plan.
2.2 Student Licence Seats
Basic School Plan: Up to three hundred (300) active student accounts. Premium School Plan: Unlimited student accounts (subject to fair use policy). Each student account must correspond to a real, enrolled student of the institution. Sharing of student login credentials across multiple users is prohibited and may result in immediate account suspension.
2.3 Teacher/Tutor Accounts
Each school subscription includes a defined number of teacher accounts as detailed in the plan. Teachers must be employed by or formally affiliated with the subscribing institution. Teacher accounts must not be used by individuals outside the institution.
2.4 Prohibited Uses
The school licence may not be used for: reselling or sublicensing access to third parties; commercial tutoring services outside the institution's own students; publishing or distributing Passco360 platform content commercially; or accessing the platform for competitive intelligence or analysis purposes.
3. Fees, Payment & Renewal
3.1 Pricing Structure
School Plans are priced annually in Ghana Cedis (GHS). Current pricing: Basic School Plan โ GHS 2,000 per academic year (up to 300 students). Premium School Plan โ GHS 4,500 per academic year (unlimited students). Prices are reviewed annually and may be adjusted with at least thirty (30) days' prior written notice to current subscribers.
3.2 Payment Terms
Payment is due in full prior to the activation of the school account. Adenat Solutions accepts payment via: Mobile Money (MTN MoMo, AirtelTigo, Telecel Cash); bank transfer to Adenat Solutions Limited's designated Ghana bank account; cheque (subject to clearance); or in-person payment at our Accra office. An official receipt and/or invoice will be issued upon payment.
3.3 Termly Payment Option
Schools may request a termly payment arrangement. Under this arrangement, each term's payment is due at least fourteen (14) days before the start of the academic term. Termly payments attract a five percent (5%) administrative surcharge applied to the total annual fee. Access will be suspended if a term's payment is not received by the due date.
3.4 Renewal
Subscriptions are not automatically renewed. Passco360 will issue a renewal reminder sixty (60) days and again thirty (30) days before expiry. The school is responsible for initiating renewal. Upon expiry, student and teacher accounts will be suspended, though data is retained for twelve (12) months to facilitate renewal.
3.5 Refund Policy
School Plan payments are non-refundable after the account has been activated and student onboarding has commenced. In exceptional circumstances (e.g., school closure due to a government directive), Passco360 will consider pro-rated credits at its sole discretion.
4. Data, Privacy & Safeguarding
4.1 Student Data
Schools are responsible for obtaining appropriate parental consent before enrolling students under the age of eighteen (18) on the platform. Passco360 will process student data solely for the purpose of delivering education services and will not sell or share it with third parties for commercial purposes. Data is stored securely in compliance with applicable Ghanaian data protection principles.
4.2 School's Responsibilities
The school agrees to: accurately provide student and teacher data; inform students and parents/guardians about the use of Passco360; promptly remove access for any student or teacher who leaves the institution; and not upload sensitive personal data beyond what is necessary for platform use.
4.3 Minor Safeguarding
Passco360 operates a strict safe environment policy. Any tutor or teacher account found engaging in inappropriate behaviour with minors on the platform will be immediately suspended and reported to the appropriate Ghanaian authorities. Schools are obligated to report any such concerns to admin@passco360.com immediately.
5. Suspension, Termination & Breach
5.1 Grounds for Suspension
Passco360 may suspend a school's access to the platform for: non-payment of subscription fees; breach of the permitted use licence; enabling or permitting misconduct by students or teachers using the platform; and misrepresentation during registration.
5.2 Notice
For non-emergency suspensions, Passco360 will provide seven (7) days' written notice. During this period, the school may cure the breach. If the breach is not resolved within the notice period, suspension will proceed.
5.3 Termination by School
A school may terminate its subscription by providing thirty (30) days' written notice. No refund is due for the remaining subscription period unless a termly arrangement is in place, in which case fees for the current active term are non-refundable.
6. Service Level, Support & General Provisions
6.1 Support
School subscribers are entitled to dedicated email support (admin@passco360.com) with a response time of one (1) business day. Premium Plan subscribers are entitled to priority phone support and dedicated onboarding assistance for the first academic term.
6.2 Platform Availability
Passco360 targets ninety-nine percent (99%) platform availability during term time (Monday to Saturday, 6:00 AM โ 10:00 PM GMT). Scheduled maintenance will be communicated at least forty-eight (48) hours in advance. Passco360 is not liable for service disruption caused by factors outside its control (e.g., internet outages, third-party service failures).
6.3 Amendments to Terms
These Terms may be updated from time to time. Schools will be notified by email at least fourteen (14) days before any material changes take effect. Continued use constitutes acceptance.
6.4 Governing Law
These Terms are governed by the laws of the Republic of Ghana. Any disputes shall be resolved by mutual negotiation in good faith, failing which, through the courts of Accra.
